This policy explains what personal information GameShelfClub collects, why, and what rights you have. The short version: we only keep what you type into our forms, we never sell it, and we don't use tracking cookies.
Who is responsible for your data
GameShelfClub is run by Awen Software Ltd (company number 17153930), whose registered office is at Unit 13 The Timber Yard, East Moors Road, Cardiff, Wales, CF24 5EE. Awen Software Ltd is the controller of your personal data. Contact us about anything in this policy at [email protected].
What we collect and why
Your email address, if you join the early access list. We store the address and the date you signed up, and use it to tell you when early access opens and to send occasional updates about GameShelfClub. Our legal basis is your consent, which you can withdraw at any time.
Retailer and shop suggestions, if you send one. We store the text you typed (a shop or retailer name and a town or postcode) and the date. We don't link suggestions to your email. Our legal basis is our legitimate interest in keeping the shop and retailer lists accurate.
Spam protection. When you submit a form, we store a one-way, salted hash of your IP address for about a day so we can limit how many submissions come from one place. The hash can't be turned back into your IP address, and we delete it after roughly 24 hours. Our forms also contain a hidden field that only automated bots fill in. Our legal basis is our legitimate interest in protecting the site from abuse.
Anonymous visit statistics. We may use Cloudflare Web Analytics, which counts page views without cookies and without building a profile of you.
What we don't do
We don't use advertising or tracking cookies, we don't sell or rent your data, and we don't share your email with advertisers or other companies for their marketing. We don't make automated decisions about you.
Postcode search
The shop finder looks up your postcode with postcodes.io, a free UK postcode service, directly from your browser. We never receive or store your postcode. If you use "Use my location", your browser shares your location with the page only, to sort shops by distance. It isn't sent to us.
Who processes data for us
The site is hosted by Cloudflare, which also stores signups and suggestions in its database service and processes data on our behalf under its data processing terms. Cloudflare may process data outside the UK, protected by the safeguards UK data protection law requires. Our fonts are hosted on our own site, so loading a page doesn't send your details to a font provider. If we start using an email service to send updates, we'll name it here.
How long we keep it
We keep your email address until early access has launched and you've had the chance to create an account, or until you unsubscribe or ask us to delete it, whichever comes first. Suggestions are kept while they're useful for improving the shop and retailer lists. Rate limit hashes are deleted after about a day.
Children
You need to be at least 13 to join the early access list or send a suggestion. If you believe a child under 13 has given us their details, contact us and we'll delete them.
Your rights
Under UK data protection law you can ask for a copy of the data we hold about you, ask us to correct it or delete it, object to or ask us to restrict how we use it, ask for it in a portable format, and withdraw consent at any time. To make a request, email [email protected]. We'll reply within one month. If you're unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.
Security
The site is served only over HTTPS, our forms are protected against spam and abuse, and access to stored data is limited to the people who run GameShelfClub.
Changes
If we change this policy, for example when accounts and trading launch, we'll update this page and the date at the top, and tell people on the early access list about significant changes.
